Privacy policy

Who we are

Finance & Coffee Jobs is a job board for members of the Finance & Coffee community, which is run by Finance and Coffee Group Pty Ltd. The board itself is operated by FIN TALENT AUSTRALIA PTY LTD, trading as FinTalent (ABN 53 681 346 921), a recruitment business in Melbourne. FinTalent holds the personal information you give the board, and this policy sits alongside the FinTalent privacy policy and the Finance and Coffee privacy policy. Where they overlap, this page is the one that applies to the board.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

If you are looking for a role: your name, email address and password, or the name, email address and profile photo your Google or Microsoft account shares when you sign in that way. Your CV if you upload one, and what we read from it: work history, qualifications, skills, location and contact details. Anything you add or change on your profile. The jobs you apply for, when, and any cover note you write.

If you are hiring: your name, email address and sign-in details as above, your business name and location, the jobs you post, and how you move applicants through your hiring stages, including any private notes you keep on them.

Everyone: basic technical information when you use the site, such as pages visited, browser type and approximate location, used in aggregate to keep the board working. We do not use advertising cookies, retargeting pixels or social media trackers on the board.

How we collect it

Directly from you when you create an account, upload a CV, post a job, apply, or write to us. From Google or Microsoft when you choose to sign in with them, limited to your name, email address and profile photo. From your CV, by reading it as described below.

How we read your CV

When you upload a CV we send it to Claude, an AI service run by Anthropic, which returns your details as text so your profile fills itself in. You can correct anything it gets wrong before you apply for anything. Anthropic does not use data sent to its API to train its models. The original file stays on our server and is only shown to employers whose jobs you apply for.

How we use it

To run the board: showing jobs, sending applications to the employer who posted the job, and letting employers manage applicants. To tell you about the status of your applications. To keep the board safe, including checking that a new employer is a genuine business before its jobs go public. To contact you about roles that suit your background, because FinTalent is a recruitment business and the board is one of the ways it meets candidates and employers. To meet legal obligations.

Who sees your information

Employers see a candidate's profile and CV only after the candidate applies for one of their jobs. A profile is private by default and never listed publicly.

Moderators of the board, who are staff of FinTalent and of Finance & Coffee, can see every job, every employer and every application in order to run the board.

FinTalent may use a candidate's details for its recruitment services, which means it may contact you about roles that are not on the board. Tell us if you would rather it did not.

Finance & Coffee receives information about who is using the board, such as which businesses are hiring and how many members have joined, so it can run the community. It does not receive your CV.

Service providers who help run the board: Anthropic (CV reading), Google and Microsoft (sign-in, if you use them), and the hosting and email services FinTalent uses. Each receives only what its job needs.

We disclose information to authorities where Australian law requires it. We never sell personal information.

Overseas disclosure

Anthropic, Google and Microsoft operate from the United States and may store data outside Australia. By using the board you consent to that disclosure.

Storage, security and how long we keep it

Your information is stored on servers FinTalent controls and in the service providers listed above, behind access controls and two-factor authentication on key systems. No transmission over the internet is completely secure and we cannot guarantee it. We keep your account and its contents while you use the board, and for as long as a hiring relationship that started here is active or reasonably likely to be. You can delete your account at any time, which removes your profile and CV; applications already sent to an employer stay with that employer.

Access, correction and deletion

You can see and change everything on your profile from your account. For anything else, or to delete your account entirely, email joe@fintalent.com.au. We respond within 30 days. We may refuse a request in the limited circumstances the Privacy Act allows, and we will say why.

Complaints

If you think we have mishandled your information, write to joe@fintalent.com.au first and we will respond within 30 days. If that does not resolve it, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes

We may update this policy. The date at the top changes when we do, and material changes are told to account holders directly.
